Cancellation Policy

If you need to cancel or reschedule an appointment, please email or text the treating therapist at least 24 hours prior to the scheduled session to cancel. Rescheduling missed visits is expected whenever feasible. If notice is not provided at least 24 hours prior to the scheduled appointment, a missed session fee of $85 will be charged to the credit card on file.

If the child is not present when the therapist arrives for a scheduled appointment, the therapist will wait for ten minutes for the child to arrive for their session. If the child is not present at this time, the session will be considered missed, and the $85 missed visit fee will be charged.

Caregivers may submit a request for a missed visit fee to be waived if you feel that the reason for the missed visit was an emergency or extenuating circumstance. Requests may be submitted to danielle@synapsepediatrictherapy.com.

Illness Policy

If your child has run a fever, has vomited, had diarrhea, or demonstrated other symptoms of an infectious illness (e.g., excessive coughing, sneezing, illness-related rash) in the past 24 hours, please be courteous and cancel therapy until he/she has been symptom-free for a minimum of 24 hours. This policy helps protect the staff, families, and clients of our organization.

Drop Off & Pick Up Policy

Speech Therapy sessions run 45 minutes in length. Therapists will typically provide direct treatment with their clients for 40 minutes and will use the last 5 minutes of the session for consultation with parents/ caregivers.

Occupational Therapy sessions run 55 minutes in length. Therapists will typically provide direct treatment with their clients for 50 minutes and will use the last 5 minutes of the session for consultation with parents/caregivers.

Consultations are essential for providing families with the appropriate tools and strategies to help each child generalize new skills at home. Parents/caregivers play a vital role in helping their children succeed

Drop Off/Pick Up Procedures:

  • Clients and siblings should remain in the waiting room until greeted by a therapist.

  • During the therapy session, parents are generally expected to wait in the waiting room or join their child in the treatment room.

  • If a parent/caregiver would like to leave the clinic they must: (1) Have a child who is able to be independent in the bathroom, and (2) Have provided Synapse Pediatric Therapy with an Emergency Contact Information

  • Parents/caregivers must be present 5 minutes before the therapy session ends.

  • For every five minutes the parent/caregiver is late for pickup, a $25 late pickup fee will be charged to the card on file. Our clinic is not staffed to manage children whose caregiver is late. Late pickups will negate the capacity for consultation with parent/caregiver and clinician, will interfere with clinical documentation and interrupt other client's therapy sessions.

  • If a parent/caregiver is more than 5 minutes late for a pickup without communicating with the therapist we will proceed to call the child's Emergency Contacts. If we are unable to get in touch with the parent or emergency contacts within 30 minutes of the end of the session, it will be necessary for us to call Evanston Police Department to assist us in locating a safe solution for the child.

  • If a parent/caregiver is late for pickup more than once, they will be asked to wait in the waiting room for all subsequent sessions.
